The Task Board is an interactive component of the Event Room, that enables you to allocate key activities across your organisation, stay abreast of their progress and successfully manage critical events.
Where do I find the Task Board?
Log in with your iluminr credentials.
On the Home screen, select Current Events or the vertical menu, click Event Rooms.
Click the Event Card with the corresponding event name.
If no event is in progress, see How do I create an event?
In the Event Room, scroll to the bottom of the page.
On the right, you will see the summary version of the Task Board.
Click on the summary Task Board heading to open in the SAME tab, or Open in new tab, to open a NEW tab for the Task Board.
Congratulations, you are now accessing the full Task Board!
How do I use the Task Board?
Each row of the task board displays the priority of the item, a reference number, the status of the task, a description, due time and date, the assignor, the assignee and time and date created.
Any rows with new or updated information will highlight in light purple. You can also toggle, on or off, the ability to notify assignees of the tasks allocated to them via SMS.
Search and Filter
The search bar allows you to search for and display tasks that contain specific keywords of your choice. The task board can be filtered by status, time period and priority; all of the filters can be cleared at any time.
Notify Assignees
When assigning tasks on the Task Board, you have the option to notify assignees of their new tasks via SMS. You can turn this feature on or off as needed.
There are two types of task notification options available:
Please note if you assign a task to yourself, you will NOT receive an SMS notification.
All Tasks (board level)
You can enable notifications for all tasks on the Task Board level. This means that every time a task is assigned, the assignee will receive an SMS notification. They will also receive updates for the task, such as changes to priority, due date, status changes to "in progress" or "complete," and any other updates.
Select Tasks (task level)
This can be done at an individual Task level, meaning only that task will trigger notifications.
Add a Task
Adding new tasks to the Task Board is quick and easy.
Click on Add description and type in the first row of the task board and then hit enter. All other information can be entered later. Pressing the Enter key to move to the next line for a new task row, enables rapid data entry.
Click on the Priority icon and select the correct priority from the drop-down menu.
Click on the Status and select the correct status from the drop-down menu.
Click on the Due Date and select the correct date and time and click Save.
Click Add Assignee to allocate a task.
Using the search functionality, select the person responsible for the task from the option or create a new contact.
Clicking anywhere on the row will also activate a side panel for further information or actions.
You can also toggle on or off the ability to notify the assignee of the specific task allocated to them, sent via SMS and email.
Click Updates to create notes, link information and further collaborate about the specific task.
Click Attachments and links to upload relevant documents or link to a piece of information on the information board, creating clear connectivity and accountability.
Click Link Information to link information from the Information Board to the specific task. If you have not yet added information to the information board, you can do so by clicking Create new Information.
Click Upload an attachment and select the relevant file you would like to upload.
Edit a Task
On the Task Board, click anywhere in the row of the task that you would like to edit. Clicking on the row will activate the side panel.
Click the options icon and select Edit.
Delete a Task
Delete a task from the Task Board by clicking on the task, selecting the options icon and click Delete Task.
